How to search for enquiries

Within the Enquiries section, a user can search and filter the enquiries by specific criteria such as status, date range, created or arrival date and source (agent).


Please see the bottom of the help document for a description of each filter.


If you are a Venue Group Manager and have access to multiple venues you can also search by a specific venue or all venues. 


Click on 'Enquiries' at the top and then 'View All' from the dropdown.



Here you will see all enquiries your venue or venues have received. 


You can use the search box on the left to look for a specific enquiry by the booking reference number. 

Each agent will have their reference numbers usually starting with 3 letters followed by some numbers. For Example one of Calder's references will start with CAL. 


Ensure the date range set is correct in the filters otherwise, the enquiry won't be found when you input the reference number. 



Status

To search by Status click on the 'All Statuses' button then click the required status from the drop-down box and click filter.


New - new enquiries received that have not yet been responded to


Provisional - the venue has responded to the enquiry or this enquiry has been provisionally booked by the agent - there may be several venues held provisionally for the one enquiry whilst the end client decides which venue they wish to book. The end client tells the agent and then the agent will change the status to either confirmed or released.


Confirmed - the enquiry booking has been confirmed


Released - the end client has not selected the venue so the enquiry has been released


Cancelled - the event itself has been cancelled by the end client/agent.

Other statuses you may come across is Paid and Invoiced. These statuses are added by the agent once the event has taken place and the agent has sent their commission claim


Created & Arrival

Created Date - The date the enquiry was created by the agent


Arrival date - the event date when the delegates are due to arrive at the venue


Last Updated - selecting this function will display the enquiry updated most recently by the agent/venue at the top of the search results, with those enquiries updated more historically at the bottom.  


Date Ranges

When searching for a booking ensure your date range is correct to be able to find the booking you are looking for. If the date of the booking is not within the date ranges you have selected then the booking won't be found. 


You can go as far back and as far ahead as you like, and ensure if you are searching based on the date the event is taking place you input your date and change the filter from created to Arrival.

You can use this to search for all bookings from a specific agent or leave as 'All Sources' to see bookings from any agent.
